Why Longspan

A steady desk, not a rushing queue

We work at a pace that suits documentation — methodical, unhurried, and precise. Each engagement is about your records, not a template.

Structured from the first sitting

Every record is placed in a consistent order from the outset, so nothing is buried and nothing is missed when you need to refer back.

Purely clerical — no advice given

Our coordinators organise, label, and log. They do not interpret documents or comment on entitlements, keeping the engagement within clear boundaries.

Gaps identified, sources noted

Where documents are missing, we note the usual channels for obtaining them — former employers, government bodies, fund administrators — without contacting anyone on your behalf.

Everything handed to you in print

Indexes, registers, and summaries are delivered on paper so you hold the complete record, independent of any digital system or subscription.

Ready to pass to a professional

The summary sheet and register we produce are designed to be legible and useful to any licensed professional you engage for formal advice.

Handled with discretion

Retirement papers carry personal history. We work quietly, in your home or our office, and retain no copies after the engagement closes unless you request otherwise.

Not sure where to begin with your paperwork?

A brief conversation is usually enough to identify which service fits your situation. There is no pressure and no commitment involved in asking.

Common Questions

Frequently Asked

What exactly does Longspan do?
Longspan provides clerical and educational support around retirement and provident fund paperwork. We run workshops that explain what documents are relevant, and we offer coordination services that help you build an indexed register of those documents. We do not give financial, legal, or advisory opinions of any kind.
Who are the workshops for?
Anyone approaching retirement or helping a family member prepare. The Documents Readiness Workshop is particularly suitable for people who are not yet sure which records they should be holding or how those records are structured. No prior knowledge is needed.
How long does the Household Records Index service take?
The Household Records Index is delivered across two appointments, typically scheduled one to two weeks apart. The first visit surveys and sorts your documents; the second delivers the completed printed index, labelled dividers, and gap notes. Total time with a coordinator is usually four to six hours.
What does Long Paper Trail Coordination cover?
It is a three-month engagement suited to records that span several employers, states, or many years. A coordinator maintains a master register, a dated log of letters sent and received, and a submission calendar. At the close, we hand over a neutral chronological summary and a directory of registered practitioners — we do not contact third parties on your behalf or advise on the content of documents.
Are sessions conducted at your office or at my home?
The Documents Readiness Workshop is held at our Kota Kinabalu office. The Household Records Index and Long Paper Trail Coordination services can be conducted at your home or at our premises, depending on where your documents are stored. We discuss the most practical arrangement during initial enquiry.
Do you retain copies of my documents?
We do not retain copies after the engagement closes unless you specifically request that we hold a duplicate set for reference. The working index and summary sheet are yours; we delete any working files within 14 days of the final handover.
How do I pay and what currency is used?
All fees are quoted in Malaysian Ringgit (RM). Payment is accepted by bank transfer or cash at our office. A 50% deposit is required to confirm a booking; the remainder is settled on delivery of the final printed materials.
