Core Advantages
What you walk away with
Each Longspan service is designed to leave you holding something useful — not just sorted paper, but a structure that continues to work after we are gone.
A structured, navigable index
Rather than a pile or a folder, you receive a numbered index with consistent section labels — the same structure used across all our engagements so any future coordinator can pick it up without briefing.
Gap identification in writing
We record what is missing and note the standard sources for obtaining it — EPF counters, former employer contacts, government registries — without making contact on your behalf.
Vocabulary explained, not assumed
The Documents Readiness Workshop covers the terms and abbreviations that appear on provident fund statements and employment letters, so you can read your own records with confidence.
Correspondence tracked by date
For Long Paper Trail engagements, every letter sent and received is logged with dates and reference numbers, giving you a complete chronological picture of the process.
Ready for any professional to use
The summary sheet and index we produce are designed to be handed directly to a financial planner, estate administrator, or legal office without requiring our presence or explanation.
All deliverables in print
Printed materials do not depend on logins, subscriptions, or software. Your index and summary are on paper, in a labelled folder, from the day of handover.
Expertise
Coordinators who know the paperwork landscape
Longspan coordinators have backgrounds in HR, document control, and adult education. They know the formats used by EPF, the layouts common to gratuity letters, and the structures of employment records across public and private sectors in Malaysia.
That familiarity means less time explaining what a document is, and more time actually sorting it. It also means gaps are spotted quickly rather than after a second review.
Experience with EPF statement formats across multiple decades
Familiarity with public-sector gratuity and pension documentation
Understanding of multi-employer record structures
Workshop facilitation in English and Bahasa Malaysia
Standardised index structure used across all engagements
Naming convention for scanned copies included
Written gap list with sourcing notes
Handover checklist signed off at close
Process
A consistent method, every time
All Longspan services follow the same underlying methodology: survey, sort, label, gap-check, and deliver. The detail of each step scales with the complexity of the engagement — a workshop uses a printed workbook, a full coordination uses a running register — but the logic is the same.
Consistency matters because your records will be read by people who did not organise them with you. A clear, standard structure means they do not have to decode your filing system before they can begin their own work.
Service Quality
Appointments that begin on time and end with a clear deliverable
Longspan appointments are scheduled and run to schedule. You receive a written agenda before each session, a summary note afterward, and a printed deliverable at the close of the engagement. Nothing is described verbally and left undocumented.
If something comes up during a session that falls outside the agreed scope — a question that needs professional interpretation, for instance — it is noted in writing and referred onward rather than answered speculatively.
Written agenda shared before each appointment
Session summary note provided after each visit
Out-of-scope items documented and referred, not guessed at
Printed deliverable at close of every engagement

What We Do Differently
Distinctive features of a Longspan engagement
No digital lock-in
Every deliverable is printed and labelled. You do not need a subscription, an app, or a password to access your organised records after the engagement closes.
The same coordinator throughout
The person who begins your Household Records Index or Long Paper Trail engagement is the person who closes it. No handoffs, no re-briefing midway through.
Bilingual facilitation available
Workshops and coordination sessions can be conducted in English or Bahasa Malaysia, and documents in either language are handled equally well.
PDPA 2010 compliant handling
We operate in accordance with Malaysia's Personal Data Protection Act 2010 throughout. Working copies are deleted and no data is shared without explicit consent.
