Services

Three ways to bring your retirement records into order.

← Back to Home

Our Approach

Survey, sort, label, gap-check, deliver.

Every Longspan service follows the same underlying method. The difference between them is scale: a half-day workshop for someone starting out, a two-appointment coordination for a household with accumulated documents, and a three-month engagement for records that span many employers, states, or decades.

In each case, we deliver a printed outcome — a readiness board, a printed index, or a chronological summary — that is yours to keep and use with whichever professional you consult next. We do not advise, interpret, or represent.

Documents Readiness Workshop

Service 01

Documents Readiness Workshop

RM 425 per participant

A half-day group workshop that walks through the paperwork commonly associated with retirement and provident fund records. It explains the vocabulary used on statements, covers how people typically keep their own copies, and gives participants a hands-on readiness board exercise to take away.

The session is educational only. No advice is given about any individual's entitlements or obligations. Held in small groups with a printed workbook, it closes with each participant holding a clear picture of which documents they have and which are worth requesting from former employers or fund administrators.

What is included

  • Half-day facilitated session (approx. 4 hours)
  • Printed workbook for each participant
  • Completed readiness board template
  • Reference sheet of common EPF and employment record terms
  • Small group setting (maximum 8 participants)
  • Available in English or Bahasa Malaysia

How the session runs

1

Introduction to retirement paperwork categories — what each type covers and where it comes from

2

Vocabulary exercise — working through common terms and codes using sample (anonymised) documents

3

Readiness board exercise — participants map their own held, requested, and missing documents

4

Next-step discussion — where to obtain common missing documents and who to consult for formal interpretation

Service 02

Household Records Index

RM 1,240 per household

A two-appointment service in which a Longspan coordinator sits with you and builds a single indexed register of your retirement-related documents, identity papers, and relevant correspondence. The work is entirely clerical — no opinion is offered on the meaning or effect of any document.

By the close of the second appointment, you hold a printed index with labelled dividers, a naming convention for any scanned copies you want to maintain digitally, and a short written note identifying gaps in the record and the usual sources for obtaining the missing items.

What is included

  • Two coordinator appointments (approx. 2–3 hours each)
  • Printed index with page numbering and section labels
  • Labelled dividers for physical filing
  • Naming convention sheet for scanned copies
  • Written gap note with standard sourcing references
  • Can be conducted at your home or our office

How the engagement runs

1

First appointment: survey and initial sort — documents gathered, separated by category, and noted

2

Between appointments: index structure drafted, gap list prepared

3

Second appointment: printed index reviewed with client, dividers labelled, handover completed

Long Paper Trail Coordination

Service 03

Long Paper Trail Coordination

RM 3,870 per engagement

A structured three-month engagement for records that span several employers, states, or decades. A coordinator maintains a master register, a dated log of all letters sent and received, and a submission calendar throughout the period.

At the close, we assemble a neutral chronological summary sheet, suitable for handing directly to a financial planner, estate administrator, or legal office. The engagement closes with a complete handover pack and a directory of registered practitioners in Sabah. We do not advise, interpret, or represent at any point.

What is included

  • Three-month coordination period
  • Running master register of all documents identified
  • Dated correspondence log (letters sent and received)
  • Submission calendar for outstanding requests
  • Neutral chronological summary at close
  • Full handover pack with practitioner directory

How the engagement runs

1

Month 1: Initial survey, master register established, gaps identified and logged

2

Months 1–3: Correspondence tracked as it arrives or is sent; register updated on receipt of new documents

3

End of Month 3: Chronological summary drafted and reviewed; handover pack assembled

4

Final session: handover of printed pack, practitioner directory, and signed completion checklist

Across All Services

Standards that apply to every engagement

No interpretation, no advice

Coordinators sort and label. Questions requiring professional opinion are noted and referred to the appropriate source.

PDPA 2010 compliant

Your personal data is handled in line with Malaysia's Personal Data Protection Act. Working copies are deleted within 14 days of handover.

Written terms before we begin

Every engagement starts with a clear written agreement covering scope, timeline, and fees. No additions after signing.

All deliverables in print

Nothing we produce depends on software or a subscription to access. Your index and summary are printed and yours from the day of handover.

Originals never leave your custody

Original documents remain in your possession. Any working copies made during coordination are destroyed at close of engagement.

English and Bahasa Malaysia

All services can be delivered in either language, and documents in both are handled with equal care.
